New Registration Procedures

STARTING SUMMER 2019

OVERVIEW/PROCESS

These new procedures were developed with the Parent Advisory Council with the goal to make registrations easier and more fair for families. The new process allows returning students to continue in the same classes or move up to the next level from school year to school year. The new process also prioritizes the path each child is on in their arts education experience at Living Arts.

Summer enrollments (June - August) will be made through a Drawing Selection Process. Returning students will be prioritized due to the importance of scaffolded education and will have their enrollments announced first via drawing. After this process is complete, new student enrollments will be announced via a secondary drawing. (Note: Students must be at the level of the classes they enroll in to be accepted into the drawing.)

For the school year (October - May), returning students will be able to enroll in the same classes as the previous school year (October - May) or move up one level higher with Dance Director or Program Manager approval. Remaining enrollments will be completed by the Drawing Selection Process (first for returning students, second for new students) to enroll in new classes.

SUMMER REGISTRATION PROCEDURES (June - August)

Applications are due with noted class preferences to the OSA Program Manager or via Living Arts’ website portal by Friday, May 31, 2019.

  1. Drawing for class enrollments and wait list placements for returning students will take place the second week of June, before Friday, June 14th.*

  2. Returning students will be notified via email (or telephone if no email address is available) of enrollment and wait list placements by Friday, June 14, 2019.

  3. Drawing to fill remaining spaces and waitlists with new students will take place on Monday, June 17, 2019.**

  4. New students will be notified via email (or telephone if no email address is available) of enrollment and wait list placements by Wednesday, June 19, 2019.

  5. Any applications turned in after the submission deadline (5/31) will be processed after the drawings for returning and new student enrollments. After both drawings are completed, students may enroll directly in any classes that have remaining space or they will be added to the end of the class wait lists according to the order of submission.

SCHOOL-YEAR REGISTRATION PROCEDURES (October - May)

Applications are due to OSA Program Manager or via Living Arts’ website portal by the deadline provided on release of the new schedule.

  1. Students registering for the same classes as the previous school year (or one level higher w/ approval from Dance Director) are automatically eligible to be enrolled in that class. (For example: Students enrolled in Primary Ballet from October 2018-May 2019 will eligible for direct enrollment for Primary Ballet from October 2019-May 2020).

    **Returning class enrollment will be prioritized by highest level, in order to determine the number of available placements. For example: Returning students eligible for Ballet 3 will be enrolled prior to students eligible for Ballet 2 and then Ballet 1. Ballet 2 and 1 will be enrolled based on available remaining placements.**

  2. Returning students who wish to enroll in a new class will enter a Drawing Selection Process for remaining class enrollments and wait list placements.

  3. New students who wish to enroll in classes will enter a Drawing Selection Process for any remaining class enrollments and wait list placements.

  4. Any applications turned in after the submission deadline will be processed after the drawings for returning and new student enrollments. After both drawings are completed, students may enroll directly in any classes that have remaining space or they will be added to the end of the class wait lists according to the order of submission.  

DRAWING SELECTION PROCESS

  1. Student names will be placed on a list and sorted class by class in random order using random.org (an online list randomizing service).

  2. Names will be selected until the maximum number of students per class is reached. Students will have 7 days to confirm enrollment in the class.

  3. Any student above the class cap will be added to a class wait list, in random order.

  4. If a student drops the class, the spot will be filled by the next student on the waitlist. Students have 7 days to confirm enrollment in the class. If after 7 days no confirmation has been made, the following student on the waitlist will be contacted.


    For example: The class cap for Primary Ballet is 12 students. If 25 students register for Primary Ballet, the Drawing Selection Process will take on 12 random students, and add 13 students to the waitlist. If a student drops Primary Ballet, the first student on the waitlist will be contacted to fill the spot.

*Returning Student: Any student who has enrolled in and attended a class within the last 12 months.

**New Student: Any student who has never taken classes with Living Arts or any student who has not taken a class within the last 12 months.
